Storeplay Scent delivers subtle, low-level ambient fragrance across retail, hospitality, workplace and commercial spaces using professionally formulated fragrances and commercial-grade diffusion equipment. This article covers placing the diffuser, adding it through the app, HVAC installation, day-to-day care, troubleshooting, safety and compliance.

How the diffuser works

The commercial diffuser uses cold-air atomisation - no heat, no combustion and no open flame. High-pressure air mixes with the fragrance oil at the nozzle and shears it into an ultra-fine mist (roughly 3-50 microns). No water is added. Fragrance output runs at low ambient levels, designed to create a subtle environmental effect rather than direct personal fragrance exposure.

The unit can sit on a table-top, be wall-mounted, or be connected into an HVAC system to cover multiple rooms and zones. Scent intensity and operating hours are set through the internal touch LCD timer or the app.

Where to place the diffuser

Placement is the single biggest factor in how well scenting works.

Put the diffuser where the fragrance can ride the room’s natural airflow. This matters most in air-conditioned spaces. The best spot has plenty of airflow.
Not sure which way the air moves? Turn the machine on and shine a torch at the scent output to watch where the mist travels. Or light a match, blow it out, and follow the smoke.
Keep it in an open area. Don’t hide it behind or under furniture.
Recommended height is 1.2-2.0m. Keep it clear of direct air-conditioning wind, air outlets and strong convection.
Don’t place it near an HVAC return grille, exhaust fan, vent, open door or window - that pulls the scent out of the space. Work with the airflow, not against it.

Try a few locations and settings, and give each one time to settle before changing it again.

Adding a scenting device via the app

Register an account in the Storeplay Scent app using the same username as the client details in Admin (for example, “forevernew”) and your own personal password. Re-enter the password to confirm.
Log in to the app with those details.
Go to the WIFI Connection / Bluetooth Connection screen and tap WIFI Connection.
Tap the + icon to add a new WIFI device.
Enter the name of the WIFI network you want the device on, then the network password.
Select the location of the device, then tap Next.
If prompted for a PIN, enter 1234.
In the store section, tap Change, select the store you want to assign the device to, and tap Confirm.
The device you added will appear - tap it. You’ll get a prompt confirming the device has been added.
Go back to WIFI Connection. The device now shows in that screen.
Tap the device to open its settings. From here you can turn it off and on, and set the working time using the Edit button.
In Admin, go to the client’s devices page. The scenting device should show as online. Tap it in the list to see its details.

HVAC installation

Connecting the diffuser to HVAC lets one unit scent multiple rooms and zones. Check with your HVAC provider or mechanical engineer to confirm which air handling unit serves the area you want to scent.

Pre-installation checklist

Confirm the area to be scented.
Locate the Air Handling Unit (AHU) or duct serving that area.
Confirm the AHU does not use an open gas flame.
Mark the optimal position for the Scent Point.
Mark the exact location for the diffuser.
Confirm the distance between the Scent Point and the diffuser. The air tube must be a maximum of 1 metre, with no dips, coils or low spots. The Scent Point must always be higher than the diffuser.
Locate a 220V AC power outlet near the diffuser - but not directly underneath it.

Positioning

Insert the scent output where it will be drawn smoothly into the airflow - usually parts of the AHU with negative static pressure. Good locations:

Before the supply fan, injecting through the AHU wall (after the coils if possible, or in the mixed air chamber).
Behind the blower, with the diffuser mounted inside the AHU in the mixed air chamber.
Outside the AHU in the supply air duct.

Best practice is to place the hose guide after the heating and cooling coils. The diffuser sits below the Scent Point, with the air tube running upward over as short a distance as possible and never more than 1 metre. If an upward run isn’t possible, support the hose so it can’t sag - low spots collect condensation and liquid, which blocks the scent output. Give the tube an upward slant along its run.

Never install before the coils or filters - filters dilute the scent. Never install over open gas flames. If installation must be over gas-heated coils or open flames, contact support before proceeding.

Connection steps

With a metal drill bit rated for sheet metal, drill a hole the size of the hose guide in the duct directly after the blower. Tap into the supply side, not the return side.
Insert the hose guide. The hole on its end should point with the airflow, not against it.
Secure the hose guide by screwing it to the duct.
Screw the supplied HVAC adaptor into the hose guide.
Screw a second HVAC adaptor into the machine.
Wall-mount the machine to the duct or wall, or place it on a shelf directly under the Scent Point. Keep it as close to the Scent Point as possible.
Cut the supplied air tube to length - as short as possible, maximum 1 metre (ideal 12-15 inches), and straight. No slack. Coiling or excess tube creates air pockets and scent build-up.
Connect the machine to a 110V-240V outlet and set the timer.

Tube runs that bow downward into a pocket will fill with oil and block the output - keep the run straight or upward only.

Care and maintenance

Use only dedicated fragrance oil. Never add water - it causes corrosion and blockages.
Keep the device vertical at all times. Tilting, inverting or laying it flat causes oil backflow and can damage the air pump.
Keep the oil level between 10% and 80% - above the bottom of the oil suction pipe, below the maximum line.
Run rubbing alcohol through the unit once a month for 15 minutes to prevent clogging. Wipe the nozzle, air outlet and surface with an alcohol cotton pad monthly.
Quarterly, inspect the sealing rubber rings, replace any that are ageing, and clean dust off the air intake filter.
Avoid running the unit 24 hours straight - intermittent operation extends its life.

Switching fragrances (to avoid odours mixing)

Power off and remove the oil bottle, then pour out any residual oil.
Half-fill the bottle with 95% anhydrous alcohol and refit it.
Run the device 5-10 minutes to flush the pipelines and nozzle.
Power off, empty the alcohol, then run the device with an empty bottle for 3-5 minutes to dry the internal pipelines.
Add the new oil and restart.

Storing the unit for 5+ days

Drain residual oil, flush with alcohol, run empty for 5 minutes to dry, then remove the oil bottle and store it sealed. Power off the main unit and store it somewhere dustproof.

Troubleshooting

No mist, or weak mist Check the power is on. Refill the oil if low and keep the level above 10%. Clean the nozzle by running rubbing alcohol through it. If still weak, replace the oil with rubbing alcohol and run it for 5 minutes. The atomiser head may be blocked, or the diffuser core or pump may need replacing.

Little or no spray The atomisation head is likely blocked - clean with alcohol, or replace the diffuser core. Check the core and straw aren’t missing or damaged. The pump may need replacing.

Diffuser spraying liquid The diffuser core is damaged - replace it. Check the machine is upright, not tilted.

Unstable fragrance intensity Stabilise the power supply, check the pipelines for air leaks, and keep the oil level above 10%.

Oil leaking or sticky surface The bottle is loose - screw it in straight and firm. The seal or rubber ring may be broken or ageing - replace it. Confirm the device is sitting vertically.

Abnormal pump noise or vibration The pump is loose or damaged - tighten or replace it. Check the unit is level and the air intake isn’t blocked. Switch to intermittent operation if it’s been running under long, high load.

Pungent scent or dizziness Use only dedicated, quality oil. Lower the gear/intensity setting and improve ventilation.

Cautions

Use only the supplied power adapter, and never operate the unit if the adapter or any part is damaged.
Don’t disassemble or attempt to repair the unit - contact us if there’s a problem.
Don’t service the device beyond the care steps above - risk of electric shock.
Keep the unit upright when moving it, using both hands. Always place it on a stable, level surface.
Don’t plug in with wet hands. Don’t immerse the unit in water. Don’t pour water or other liquids into the oil bottle.
Don’t tilt, move, empty or refill the unit while it’s running.
Don’t cover the unit or block the adapter while in use - the adapter needs to dissipate heat.
Keep the device at least 24 inches (about 60cm) from the ceiling.
Use only suitable diffuser blends. Other oils may contain fragrances, base oils or synthetics that cause malfunction.
If you notice smoke, an unusual smell, loud noise or any malfunction, unplug immediately and stop using it - continued use risks fire or shock.
Keep out of reach of children and pets. Store oil away from heat and flame.
Store the unit at 0-50°C (32-122°F) and 5-95% humidity.
Keep your nose clear of the output while it’s running - waft the air toward you instead.

Formulated with ingredients permitted under current International Fragrance Association (IFRA) Standards, and produced in line with IFRA restrictions and recommendations.
Raw materials sourced from established fragrance manufacturers within recognised regulatory frameworks.
Safety Data Sheets (SDS) and IFRA Certificates available on request.

A small number of people may be sensitive to fragrance materials, which is why diffusion is designed to run at low ambient levels and should always be installed, operated and maintained to manufacturer recommendations.

On request we can provide SDS, IFRA Certificates, fragrance allergen declarations (where available), equipment specifications, operating and installation guidelines, and product handling and storage recommendations.
